About the role

We are looking for a talented Office Manager to join our back-office team in Warsaw, Poland. You will be organizing and coordinating administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness and communication.


Responsibilities:


  • Ensuring the efficient functioning of our Warsaw office
  • Logging of incoming and outgoing correspondence (employees contracts, etc.)
  • Maintaining postal services
  • Managing and purchasing office inventory (direct communication with suppliers)
  • Participation in the organization of various events in the company
  • Purchasing of merchandise and gifts for employees for anniversaries
  • Guests and visitors reception
  • Scheduling meetings and booking meeting rooms
  • Managing access cards to Coworking spaces according to the established procedures and policies
  • Preparing monthly and weekly reports
  • Cooperating with compliance management team
  • Cooperating with the accountant department, HR department, lawyer, and location managers
  • Providing information support to employees
  • Partner with HR to update and maintain office policies if necessary

Requirements:


  • Location: Warsaw
  • 1+ year experience as an Office Manager in IT or in a similar role
  • Leadership skills
  • Proficiency in MS Office (MS Excel, MS Word)
  • Attention to detail and troubleshooting skills
  • Excellent written and verbal communication skills
  • Excellent time management skills and the ability to prioritize work
  • Ability to make decisions independently
  • Strong organizational skills with the ability to multitask

Language skills:


  • English — Advanced
  • Russian — Native
